Job Function, Position Summary:
- Responsible for all aspects of the internal soft services operations at the project.
- Day-to-day staff management, consultant and client liaison.
- He / She should be an ambassador for the Project.
- Provide leadership and strategic planning to the internal soft services department in support of service culture, maximized operations and client satisfaction.
- Work closely with the consultant and client representative.
- To improve, enhance and manage all internal soft services tasks.
- To manage the day to day activities of the waitress and waiters.
Reports to:
- Project Manager
- Deputy Project Manager
Duties and Responsibilities:
- Oversee the internal soft services operations function of the Project, as per the Organisational chart.
- Hold regular briefings and meetings with all internal soft services supervisors to ensure understanding of tasks is adhered to.
- Ensure full compliance to Internal soft services operating controls, SOP’s, policies, procedures and service standards are carried out.
- Lead all key internal soft services issues including capital projects, customer service and refurbishment (where required).
- Fielding complaints to the onsite helpdesk and oversee the service recovery procedures.
- Completion of weekly and monthly reporting, with responsibility in submitting all KPI and SLA evidence.
- Responsible for the preparation, presentation and subsequent achievement of the internal soft services annual Operating Budget and suggest cost savings.
- Ensure all decisions are made in the best interest of the Project and Sete management team.
- Deliver internal soft services budget goals and set other short- and long-term strategic goals for the project.
- Available at emergency notice to support the project
- Developing improvement actions, carry out costs savings.
- A strong understanding of P&L statements and the ability to react with impactful strategies
- Closely monitor the internal soft services tasks, reporting daily and take decisions accordingly.
- Helping in the procurement of operating supplies and equipment and contracting with third-party vendors for essential equipment and services.
- Asset management of client and Sete’s owned assets.
- Day to day management of PPM’s and Reactive work order to ensure contract compliance.
- Support the facilities manager in the final decision related to hiring key staffs.
- Coordination with internal soft services heads of departments, for the execution of all activities and functions.
- Overseeing and managing all departments and working closely with department heads on a daily basis.
- Manage and develop the internal soft services team to ensure career progression and development.
- Be accountable for responsibilities of internal soft services team and take ownership of all consultant and client representative complaints
- Provide effective leadership to internal soft services team members.
- Lead in internal soft services aspects of business planning.
- Responsible for safeguarding the quality of operations both (internal & external audits).
- Responsible for legalization, Occupational Health & Safety Act, fire regulations and other legal requirements.
- Undertake regular weekly toolbox talks with the internal soft services team to ensure contract compliance.
- Daily inspections of internal areas, reporting all findings to the KBS project helpdesk, following up on the completion of tasks.
- Trains, schedules, administer & supervise all housekeeping/site cleaning personnel.
- Ensures quality housekeeping and cleaning in royal VIP and staff zones of his unit/project.
- Completes and maintains all records establish controls and performance checks necessary to quality accomplishments and tasks pertaining to his section.
- Takes inventories and sets controls of linen, room supplies, cleaning material/tools equipment’s.
- Handles maintenance needs, coordinates repairs and follows up corrective measures.
- Recommends and identifies purchase of chemicals, linen, porcelain/china were, silver ware, glass/crystal and cleaning equipment’s for areas under his responsibility.
- Recommends partial or complete renovation as and when necessary.
- Ensures standards of dining rooms set-ups, furniture arrangements in dining rooms, saloon and similar places.
- Performs fabric/fiber identification tests when required.
- Coordinates interior decoration activities, if any.
- Daily management of waitress and waiters. Duties for the waiting staff will consist of the following and can be changed at any notice:-
- Provide the perfect service experience for every Guest
- Ensure the Guest feels important and welcome in the restaurant
- Prepare tables by setting up linens, silverware and glasses
- Ensure hot food is hot and cold food is cold
- Adhere to timing standards for products and services
- Present menu, answer questions and make suggestions regarding food and beverage
- Serve the Guest in an accommodating manner
- Deliver food and beverages to any table as needed
- Check dishes and kitchenware for cleanliness and presentation and report any problems
- Report to property on time and in proper uniform
- Must be able to carry food and beverages
- Carry out inspection both prior, during and after any events to ensure all issues are reported to the Consultant and Client Representative.
- Ensures safety and security standards in his section.
- Completes personnel appraisals for his staff and recommends promotions, contract renewals and terminations.
- Ensures completion of daily electronic attendance is completed as per the site requirements for his staff for submission to payroll section.
- Works closely with technical staff for implementation of maintenance needs.
- Conducts periodic meetings with his staff for smooth work performance.
- Performs all other duties as may be assigned by the Facilities Manager
